How to Manage Suitability Report Templates

Overview

Suitability Report Templates allow your firm's administrators to create and manage reusable templates that advisers can use when generating suitability reports for their cases. Templates contain pre-written text with dynamic tokens that automatically pull in case and client data.

Getting Started

Where to find it: Go to Settings > Suitability Report Templates

Who can access it: System Administrators and Managers can manage templates.

Creating a New Template

  1. Click the Add New Template button in the top right corner.

  2. A new template editor opens with the default name "New Suitability Report".

  3. Click the pencil icon next to the template name to rename it.

  4. Use the rich text editor to write your template content.

  5. Insert tokens from the toolbar to add dynamic fields that will be automatically populated with case data.

  6. Add optional content blocks to include sections advisers can choose to include or exclude.

  7. Add editable text areas where advisers can type custom text when using the template.

  8. Click Save when finished.

Publishing and Unpublishing Templates

Templates must be Active before advisers can use them.

  1. On the templates list, click the Active or Inactive button next to a template.

  2. Only active templates appear in the template dropdown when advisers create suitability reports.

Template Font and Margin Settings

  • Fonts: Calibri, Arial, or Times New Roman

  • Margins: Normal, Narrow, or Moderate

Tips & Best Practices

  • Do not copy and paste text from external sources directly into the editor. Use unformatted text only (Ctrl+Shift+V).

  • Use tokens wherever possible instead of typing static data.

  • Create multiple templates for different case types.

  • Test new templates by generating a suitability report in a case before rolling out to all advisers.

Frequently Asked Questions

Q: Why can't my advisers see a template I've just created?

A: Templates must be set to Active before they appear in the template dropdown for advisers.

Q: What happens to existing suitability reports if I edit a template?

A: Editing a template does not affect suitability reports that have already been created from it.
