Smartr365 Training Guide: Submitting an Insurance Referral
Purpose
This guide explains how to refer a client for Protection Insurance, Home Insurance, or Business Insurance within Smartr365 using the built-in referral journey. It includes field validation, required adviser actions, and what to expect at each step.
Step 1: Locate and Open the Client Case
In the left-hand navigation menu, select Cases.
Use the filters or search bar to find the client by name or other case details.
Click on the relevant client/case to open their case record.
This brings you to the Case Summary screen.
Step 2: Start the Referral Process
In the right-hand panel of the Case Summary screen, scroll to the "Refer Client to Protection and Home Insurance" tile.
Click the Refer button to begin the referral process.
At this point, the system will check that the following client fields are complete:
First name
Last name
Address
Telephone number
Email address
If any of these fields are missing, a message will appear prompting you to complete them before you can continue.
If all required fields are present, the referral modal will open.
Step 3: Confirm Client Will Be Referred
You will be asked:
"Will you be referring your client to Pure Protect to assess their insurance needs?"
You must choose one of the following options:
Yes, refer the client
No, the client declined advice and their risks and responsibilities have been made clear to them
If the second option is selected, the referral process ends, and no further action is required.
If you choose Yes, the journey continues to the next step.
Step 4: Select the Type of Insurance Referral
Once you have confirmed that the client will be referred, you must select the type(s) of insurance to include in the referral.
You may select one or more of the following:
Protection Insurance (Life, Critical Illness, or Income Protection)
Home Insurance (Buildings and Contents Insurance)
Business Insurance (Group cover, Shareholder protection, Business loan protection, Keyperson, Relevant Life Plan, and Executive Income Protection)
At least one type must be selected to proceed.
Step 5: Complete the Referral Form
You will now be asked to complete the final details of the referral:
Confirmation Checkbox
Tick the box to confirm that you have advised the client that their information will be passed to Pure Protect, who may contact them by telephone, email or post.Notes (optional)
You may enter any relevant context or comments about the referral in the Notes field (up to 2,000 characters).Adviser Selection
Select the adviser from the dropdown list who will be assigned to the referral. This field is mandatory.
The Send button will only become active when:
The confirmation checkbox is ticked
An adviser has been selected
If either of these is not completed, the button will remain inactive.
Step 6: Submit the Referral and Confirm Completion
Once all fields are completed, click the Send button.
A green confirmation toast will appear at the bottom of the screen stating:
"Referral Successfully Submitted"The right-hand panel in the case summary will update to show that the referral has been made. The original “Refer” button will be replaced with the label “Referral Made”.
This confirms the referral has been submitted and passed to Pure Protect.
Next Steps
Pure Protect will follow up on the referral based on the information submitted.
