What is the Doc Drop Box?

Doc Drop Box is an AI-assisted tool within Smartr365 that allows advisers to upload, process, and automatically assign client documents to the correct case and category — saving time and reducing manual data entry.



What file types are supported?

Supported formats: PDF, DOC, DOCX, JPG, PNG

Where are the files stored?

Once assigned and approved, documents appear in the clients Documents store.


How does the document upload process work?

You can drag and drop documents or use the Add Files button to upload files. Once uploaded, the AI will process and categorise the documents for review.

  1. You can add more documents after your initial upload, but only before continuing to the next step (AI processing).

  2. Each file is validated and displayed in the upload list with its upload status.

  3. Invalid or unsupported file types will show an error message and can be removed.

Can I upload more files after the initial upload?

Yes. The upload area remains active even after your first batch of files.
You can drag in more documents or click Add Files to append new uploads to the existing list.


What happens after I upload my documents?

After uploading, you’ll be taken to the Review Matches screen, where the system displays the suggested case matches, document purposes, and types.
You can review and confirm or manually assign if needed before finalising.


What should I do if the system can’t match a document to a case?

Click the client's name/case number and manually re-assign the document. If no suitable case exists, create a New case first, then return to Doc Drop Box.


Can I go back to the upload stage after reviewing matches?

Not at the moment. Once you’ve moved to the Review Matches screen, you can’t return to the upload stage.

If you need to add or remove files, you’ll need to restart the upload process.


How are filenames formatted once documents are finalised?

All finalised files are renamed automatically for consistency and traceability.

What happens to removed or dismissed documents?

When you remove an unassignable document, it is deleted from the review list.
