How to Manage Tasks in Smartr365

Overview

Tasks help you track actions that need to be completed on your cases. Each task has a title, description, due date, and an assigned team member. Tasks can be general reminders or mandatory steps required before a case can progress to the next status.

Getting Started

Where to find it: Click Tasks in the main navigation bar at the top of the screen.

Who can access it: Users with the "View Tasks" permission.

Understanding the Task List

The Tasks page displays all tasks across your cases. Each task shows:

  • Title and description of the task

  • Role the task is assigned to (if set via Workflow Builder)

  • Assigned To - the team member responsible

  • Client name(s) associated with the case

  • Property address for the case

  • Status of the case (e.g. "Fact Find", "Submitted")

  • Due date with a colour-coded indicator

Due Date Indicators

  • Red - Task is overdue

  • Amber - Task is due today

  • Green - Task is due in the future

Filtering Tasks

  1. Due by: Use the timeline selector to filter by date range

  2. Created by: Filter tasks by who created them

  3. Assigned to: Filter by who the task is assigned to (defaults to showing your own tasks)

  4. Show removed / Show completed: Tick these checkboxes to include removed or completed tasks

Working with Tasks

Completing a Task

  1. Find the task in your task list

  2. Click the Complete button on the task

  3. If all mandatory tasks for the current case status are now complete, the case may automatically progress

Editing a Task

  1. Click the Edit button on the task

  2. Update the title, description, assigned user, or due date

  3. Click Save

Reassigning Tasks in Bulk

  1. Click the Select button in the task list header

  2. Tick individual tasks or use Select All

  3. Click Reassign

  4. Choose the team member from the dropdown

  5. Click Done and confirm

Tips & Best Practices

  • Your "Assigned to" filter preference is saved automatically

  • Use the date range filter to focus on tasks due this week

  • If a task shows a warning that it is assigned to a deleted user, reassign it to an active team member

Frequently Asked Questions

Q: Do mandatory tasks appear in my task list?

A: Yes. Mandatory tasks from the Workflow Builder appear in both the main task list and within the case's Tasks tab.

Q: Can I create tasks from the task list page?

A: No. New tasks are created from within a case, under the Tasks tab. The main Tasks page is for viewing and managing existing tasks across all cases.
