How to Add a New Adviser or User to Your Smartr365 Account

This article explains how to add a new adviser or user to your firm's Smartr365 account.

Overview

System Administrators at a firm can invite new users directly through the Smartr365 platform. New users receive an activation email to set their password and complete registration. You will need the user's details ready before starting.

What You Will Need

  • The new user's full name

  • Their email address (this becomes their login username)

  • Their mobile phone number (required for 2FA/MFA)

  • Their intended role (e.g. Adviser, Admin Assistant, System Administrator)

  • For network firms (Openwork, SBG, Sesame): their network UID if applicable

Step-by-Step

  1. Log in to Smartr365 as a System Administrator.

  2. Go to Settings > User Management.

  3. Click Add User or Invite User.

  4. Enter the new user's details — name, email address, role, and mobile phone number.

  5. Click Save or Send Invite. The user will receive an activation email at the address provided.

  6. Ask the new user to check their inbox (including spam/junk) and click the activation link to set their password.

Common Issues

  • System error when saving the new user: If a platform error appears despite your subscription appearing correct, this may be a platform-level database connectivity issue. Contact Smartr365 support with a description of the error.

  • Activation email not received: Check spam/junk. A System Administrator can resend the invite from User Management if needed.

  • User cannot log in after activation: Confirm the user is using the correct firm-specific URL (e.g. yourfirm.app.smartr365.com) rather than a generic login page.

  • Network UID required: For SBG, Openwork, or Sesame network advisers, additional network-level configuration (e.g. Openwork UID) is required after account creation. Contact Smartr365 support if you are unsure of the steps.
