Why have I received an email that was sent to a client?

Smartr365 automatically sends you a copy of any email that is sent to a client from the platform. This is by design and serves as a compliance record confirming that the communication was delivered.

Why do I receive these copies?

  • Compliance and audit trail -- Having a copy in your own inbox provides evidence that the email was sent, which is important for regulatory compliance.

  • Visibility -- It allows you to see exactly what your client received, so you can follow up or answer any questions they may have about the content.

  • Record keeping -- If you need to refer back to what was communicated, you have a copy readily available alongside your other correspondence.

Which emails generate a copy?

This applies to system-generated emails sent from Smartr365 on your behalf, including:

  • Client portal invitations.

  • Document requests.

  • Custom emails sent through the email function within a case.

Can I turn this off?

No, this behaviour cannot be disabled. The adviser copy is a built-in compliance feature to ensure there is always a record of client communications. If you find these emails difficult to manage, consider setting up a mail rule in your email client to organise them into a dedicated folder.
