Understanding Your Dashboard in Smartr365

Overview

Your Dashboard is the first screen you see when you log in to Smartr365. It gives you a snapshot of your business performance, showing key metrics about your leads, commission, conversion rates, and upcoming opportunities -- all in one place.

Getting Started

Where to find it: The Dashboard loads automatically when you log in. You can also click Dashboard in the left-hand navigation menu at any time to return to it.

Who can access it: You need the "View Dashboard" permission to see the Dashboard. Each widget on the Dashboard may also require its own permission, so you may see different widgets depending on your role.

What You Will See

The Dashboard is split into two columns of widgets. Here is what each one shows:

My Ranking

This shows how you rank against other advisers in your firm for commission. You will see your position and commission value for:

  • Mortgage Written -- commission on mortgage cases you have submitted

  • Mortgage Completed -- commission on mortgage cases that have completed

  • Protection Written -- commission on protection policies you have submitted

  • Protection Completed -- commission on protection policies that have completed

  • Total Written and Total Completed -- your overall totals

Top 3 positions are highlighted to help you see where you stand.

My Average Written

This shows the average commission value you have earned at different stages of the sales process:

  • Average Written Per Product Added -- your average commission per new lead received

  • Average Written Per Meeting Held -- your average commission per client meeting

  • Average Written Per Application -- your average commission per application submitted

The number in brackets shows the count of leads, meetings, or applications in that time period.

My Completed Products

This shows what percentage of your cases have completed at each stage, displayed as a bar chart alongside a summary table:

  • Percent Completed Per Product Added

  • Percent Completed Per Meeting Held

  • Percent Completed Per Application

Values are colour-coded: above 70% shows as good (green), below 40% shows as needing attention (red), and anything in between is neutral.

My Conversion Rates

A polar chart and table showing how effectively you move cases through each stage of your pipeline:

  • New To Meeting -- percentage of new leads that progress to a meeting

  • Meeting to Decision In Principle -- percentage of meetings that lead to a DIP

  • Decision In Principle to Written -- percentage of DIPs that become written business

  • Submission to Completion -- percentage of submissions that complete

  • Mortgage to Protection -- percentage of mortgage cases where you also wrote protection

Where My Leads Come From

A table showing your lead sources (introducers), with columns for:

  • Average -- the average number of leads from this introducer

  • Last 30 Days -- how many leads they sent recently

  • Change -- whether lead volume is going up or down (shown in green for increases, red for decreases)

  • Total Leads -- all-time lead count from this introducer

  • Last Lead -- how many days since their last referral (shown in red if over 14 days)

Totals are shown at the bottom of the table.

Lead Flow

A bar chart showing your daily lead volume over the selected time period. Below the chart you will see:

  • Total Leads received

  • Peak Daily Leads -- your busiest day

  • Number of Days in the period

  • Average Daily Leads

My Valuable Client Referrers

A table of your top referring clients, ranked by the commission value they have generated. Shows the client name, written commission, and mortgages written value.

This Month's Remortgages Contact Opportunities

A list of your clients whose mortgage deals are coming up for remortgage this month. Shows the client name and mortgage amount, sorted from highest to lowest value. This helps you prioritise which clients to contact about their upcoming remortgage.

Using Time Period Filters

Most widgets have a time period selector in their header. You can switch between:

  • Last 31 Days -- shows data for the past month

  • Last 90 Days -- shows data for the past quarter

Changing the time period automatically updates the data for that widget only. The Valuable Client Referrers and Remortgages widgets do not have time period filters as they show all-time and current month data respectively.

Tips & Best Practices

  • Check your Dashboard daily to stay on top of your pipeline and spot trends early.

  • Use the "Where My Leads Come From" table to identify introducers who have gone quiet (last lead shown in red means over 14 days since their last referral).

  • Review your Conversion Rates to identify where cases are dropping off in your pipeline.

  • Act on the Remortgages Contact Opportunities early in the month to maximise your chances of retaining clients.

Frequently Asked Questions

Q: Why do I see "No data available" on some widgets?

A: This means there is no data for the selected time period. Try switching to "Last 90 Days" for a wider view. If you are a new adviser, data will appear once you start processing leads and cases.

Q: Why can I not see all the widgets?

A: Each widget requires a specific permission. If you cannot see a widget, your firm administrator may not have granted you that permission. Contact your manager or firm administrator to check your access.

Q: How often does the Dashboard data update?

A: Dashboard data refreshes each time you load or navigate to the Dashboard page. The data reflects your current pipeline status at the time of loading.
