How to Manage Leads in Smartr365
Overview
The Leads page in Smartr365 shows you incoming leads that have been submitted by clients (for example, through the Home Buyer app) or by introducers. These leads have not yet been assigned to an adviser or converted into a case. From this page, you can review lead details, convert a lead into a case, or remove a lead you no longer need.
Getting Started
Where to find it: Click Leads in the left-hand navigation menu.
Who can access it: You need lead management permissions to access this page. If you cannot see the Leads option in your menu, please ask your firm administrator to check your permissions.
Viewing Your Leads
The Leads page organises your leads into three tabs:
Mortgages - Mortgage leads (shown by default)
Protection - Protection/life insurance leads
Home Insurance - Home insurance leads
Click on a tab to switch between lead types. Each tab shows the total number of leads available.
For each lead, you can see:
Applicant name(s), email, and phone number
Date the lead was created
Mortgage/insurance amount
Buyer type and introducer details (company, branch, negotiator)
Tags showing relevant details such as product type, income, loan term, and whether it is a joint application
If you have more than 10 leads, use the pagination controls at the bottom of the page to navigate between pages.
Tips & Best Practices
Check your Leads page regularly to ensure new leads are picked up promptly.
Review the lead tags (such as "Offer Qualified" or "Offer Accepted") to help prioritise which leads to convert first.
If a lead shows an introducer company, branch, and negotiator, this information can help you understand where the lead originated.
Frequently Asked Questions
Q: Why can I not see the Leads option in my menu?
A: Your user account may not have the required permissions. Ask your firm administrator to check that your role includes lead management permissions.
Q: Where do leads come from?
A: Leads are typically created when a potential client uses the Home Buyer app, or when an introducer submits a lead through the Introducer Dashboard. They appear on your Leads page once submitted.
Q: What happens if I have no leads?
A: If there are no unassigned leads, the page will display "No leads found".
