How to Manage Leads in Smartr365
Overview
The Leads page shows you all unassigned leads that have come into your firm. From here you can review lead details, convert a lead into a case, or delete a lead you no longer need.
Getting Started
Where to find it: Click Leads in the left-hand navigation menu.
Who can access it: Users with lead management permissions. If you cannot see the Leads menu item, please contact your firm administrator.
Viewing Your Leads
The Leads page is organised into three tabs:
Mortgages - Mortgage leads (shown by default)
Protection - Protection/life insurance leads
Home Insurance - Home insurance leads
Each tab shows the total number of leads. Click a tab to switch between lead types.
Each lead card displays:
Applicant details - Name, email, and phone number
Created date - When the lead was received
Amount - The mortgage or product amount
Tags - Quick-reference labels such as product type, income, joint applicant, loan term, offer qualified, and whether it is a business application
Introducer information - The buyer type, introducer company, branch, negotiator, and assigned adviser name
If you have more than 10 leads, use the pagination controls at the bottom to navigate between pages.
Converting a Lead to a Case
Find the lead you want to convert and click the Convert button on the right-hand side of the lead card.
In the dialog that appears, select an Adviser from the dropdown. If the lead was requested for a specific adviser, they will be pre-selected.
Optionally add a Note about the lead.
Optionally set a follow-up date by clicking 1, 3, or 7 days, or click the calendar icon to choose a specific date.
Click Assign to create the case.
After the case is created, you will see the Invite the Client screen. Here you can choose to send the client an email invitation, or click Done to skip this step.
Deleting a Lead
Click the three-dot menu (...) on the right-hand side of the lead card.
Select Delete.
A confirmation dialog will appear. Click Delete to confirm, or Cancel to go back.
Once deleted, the lead will be removed from your list and a success message will appear.
Tips & Best Practices
Check your Leads page regularly to ensure new enquiries are handled promptly.
Use the follow-up date feature when converting a lead so the case appears in your tasks.
Smartr365 remembers your preferred follow-up date setting, so it will default to the same option next time.
Frequently Asked Questions
Q: Why can I not see the Leads page?
A: The Leads page requires specific permissions. Ask your firm administrator to check that your user role includes lead management permissions.
Q: Can I convert a lead and assign it to a different adviser?
A: Yes. When you click Convert, you can choose any active adviser from the dropdown list before assigning.
Q: What happens to the lead after I convert it?
A: The lead is removed from the Leads list and a new case is created in the Workflow. You can then manage it like any other case.
Q: Can I undo deleting a lead?
A: No, once a lead is deleted it cannot be recovered. Please make sure before confirming deletion.
