How to Use the Workflow Board in Smartr365

Overview

The Workflow board gives you a visual overview of all your cases, organised by status. You can drag and drop cases between columns to update their progress, making it easy to manage your workload at a glance.

Getting Started

Where to find it: Click Workflow in the left-hand navigation menu.

Who can access it: All advisers and administrators with access to cases.

How the Board Works

The board displays your cases as cards arranged in columns. Each column represents a status stage (for example, New, Pre-Offer Processing, Offer Received, Contracts Exchanged, Completed for mortgage cases).

The columns shown vary depending on the product type you are viewing (Mortgages, Protection, Home Insurance, Pensions, or Investments).

Step-by-Step Guide

  1. Navigate to Workflow from the left-hand menu.

  2. Use the product type selector at the top to switch between Mortgages, Protection, Home Insurance, Pensions, and Investments.

  3. Each card shows the client name, property address (for mortgages) or provider name, and a follow-up date indicator.

  4. Click on a card to expand it and see more details.

  5. To change a case's status, click and drag the card from one column to another.

  6. If validation is required, resolve any issues before the status change is accepted.

  7. To view the full case, click the card and select View Application.

Tips & Best Practices

  • Cases are sorted by follow-up date by default.

  • Use the status filters to focus on specific columns.

  • When a mortgage case moves to Completed, a remortgage case is automatically created.

  • If a case is marked as "Not Proceeding With", it cannot be dragged.

Frequently Asked Questions

Q: Why can I not drag a case card?

A: The case may be marked as Not Proceeding With, or a status change may already be in progress. You also need the correct permissions.

Q: What happens when I move a mortgage case to Completed?

A: For remortgages, you may be prompted to mark the original mortgage as redeemed. For purchases, you may be asked to set the property as the client's current address.
