How to Use ULS eConveyancer for Conveyancing

Complete guide for using ULS eConveyancer to request conveyancing quotes, instruct solicitors, and track orders in Smartr365.

Overview

ULS eConveyancer lets you request conveyancing quotes from multiple solicitors, instruct a solicitor, and track the conveyancing progress — all from within a case in Smartr365.

Before You Start

  • Company Registration: Your firm must be registered with ULS eConveyancer. A System Admin registers via Settings > eConveyancer Registration

  • Case Status: Conveyancing is only available when the mortgage status is at DIP stage or beyond

  • Buyer Type: Must be Purchase, First Time Buyer, or Remortgage

Case Data Required for Generating Quotes

eConveyancer pulls data from your case to generate accurate quotes. If required fields are missing, you will receive an error. Ensure the following are complete before requesting a quote:

Requesting a Quote

  1. Open your case and navigate to the Top Toolbar

  2. Click Conveyancing

  3. The system will pull case data and send it to ULS eConveyancer

  4. Quotes from available solicitors will be returned

  5. Review and compare quotes

Instructing a Solicitor

  1. Select your preferred quote

  2. Click Instruct

  3. The solicitor instruction is sent via ULS

  4. You can track the order status from within the case

Tracking Orders

Once a solicitor is instructed, the conveyancing status is visible in the case. Updates from ULS are reflected as the order progresses.

Troubleshooting Common Errors

eConveyancer errors often appear as index-based validation messages that don't clearly state what's wrong. Here are the most common causes:

"Validation error" or index-based error when generating a quote

This usually means a required case data field is missing. Check:

  • Original Purchase Price — This is the most commonly missed field. Enter it on the mortgage/property section of the fact-find

  • Constituent Country — Ensure the property address includes the constituent country (England, Wales, Scotland, or Northern Ireland)

  • Property Value — Must be populated

  • Tenure — Freehold or Leasehold must be selected

eConveyancer "not working" or returning a blank error

  • Check that your firm's eConveyancer registration is still active in Settings > eConveyancer Registration

  • If the issue affects all cases, contact your System Admin to verify the registration credentials

  • If the issue affects one case only, check the mandatory case data fields listed above

Error persists after filling in all fields

If you've checked all required fields and still receive an error, please contact support with your Case ID and a screenshot of the error message. This helps us investigate quickly.
