Step-by-step guide to adding a new protection case in Smartr365 and submitting it to Concert Hub via SmartrConnect.

Overview

Protection cases in Smartr365 allow you to record client protection needs and submit them to Concert Hub (the Openwork network platform) via SmartrConnect. Follow the steps below to create a new case and complete the submission.

Step-by-Step

  1. Create a new case. Navigate to the client record and click Add New Case. Select Protection as the case type.

  2. Complete the Fact Find. Fill in the client's personal details, employment, and income information in the Fact Find section. These fields feed directly into the protection submission.

  3. Complete Demands and Needs. Record the client's protection requirements in the Demands and Needs section. Any field marked with an exclamation mark (!) must be resolved before submission.

  4. Add the protection policy. Under the Protection tab, add the policy details including the provider, benefit type, benefit amount, and premium amount. All four fields are required for submission.

  5. Source quotes via Solution Builder (if applicable). If using Solution Builder to find quotes, run the quote and select the product. Save the result back to the case. Avoid saving a new top-up quote over an existing active protection case — create a new case instead.

  6. Submit to Concert Hub. Once all required fields are complete, click the Send to Concert Hub button within the case. Smartr365 will send the KYC and M&P data to Concert Hub via SmartrConnect.

  7. Confirm submission. Check the case status or log in to Concert Hub directly to confirm the data was received successfully.

Common Issues

  • Exclamation mark on Demands and Needs: One or more required fields are incomplete. Review each section and fill in all mandatory fields before resubmitting.

  • Submission fails with an error: See the article "What to Do When a Concert Hub Submission Fails" for detailed troubleshooting steps.

  • Unsupported benefit types: ASU, Business Protection, and PMI are not supported for Concert Hub submission. Remove these benefit types from the case before submitting.
