How to Add or Change User Roles in Smartr365 (Including System Administrator)

Guide to adding, changing, or removing roles (e.g. System Administrator) in Settings → User Management, which accounts can do this, and what the AllowUserRoleManagement setting controls.

This article explains how to add or change a user's role in Smartr365 (for example, upgrading a user to System Administrator), which accounts have the ability to do this, and why the Add Role button may not appear.

Overview

User roles in Smartr365 control what each person can see and do on the platform. Only System Administrators can manage user roles via Settings → User Management. The ability to assign roles is controlled by the AllowUserRoleManagement setting — if this has not been enabled for your firm, the Add Role button will not appear even if you are a System Administrator.

How to Add or Change a User Role

  1. Log in as a System Administrator.

  2. Go to Settings → User Management and open the Users tab.

  3. Click the name of the user whose role you want to change.

  4. Click Add Role and select the role you want to assign (e.g. System Administrator, Mortgage Adviser, Admin Assistant).

  5. To remove an existing role, click the remove icon next to it.

  6. Click Save to apply the changes.

The Add Role Button Is Not Visible

If the Add Role button is missing in User Management, this usually means the role management feature has not been enabled for your firm. This is a platform-level setting, not a permissions issue.

  • Verify you are logged in as a System Administrator (check your role under Settings → My Profile).

  • If you are confirmed as a System Administrator and the button is still absent, contact Smartr365 Support. Support can enable role management for your firm — after that, log out and back in and the button will appear.

Notes

  • A user can hold multiple roles simultaneously (e.g. System Administrator and Mortgage Adviser).

  • Only System Administrators can access the User Management section to make role changes.

  • If you need role management enabled and are not sure who the System Administrator is, contact Smartr365 Support with your firm name.
