How to add a pre-existing protection policy to Smartr365 when the policy was arranged outside the platform — for example, transacted directly with a provider.
Overview
If a client already holds a protection policy that was not placed through Smartr365, you can record it manually in the Protection module. This keeps the client's full insurance picture within the platform and ensures it can be reviewed alongside any new recommendations.
Step-by-Step
Open the client's case and click the Protection tab at the top of the case, or navigate to Protection via the left-hand sidebar.
Locate the existing policies panel and click Add Policy or Add Existing Policy.
Select the policy type (for example: life insurance, critical illness cover, income protection).
Enter the provider name, policy reference number, sum assured, monthly premium, and start/end dates where known.
Where available, mark the policy status as Existing to indicate it was not arranged through this case.
Click Save to add the policy to the client's record.
Common Issues
Policy type not in the dropdown: Select the closest available type and note the actual policy type in the notes field on the record.
Add Existing Policy option not visible: The Protection module may need to be enabled for your firm, or your user role may not include this permission. Contact Smartr365 Support if the option is missing.
Policy reference not available: Fields for reference number and dates can often be left blank or estimated — add a note to the record explaining what is known.
