Overview
MortgageBrain (also known as Sourcing Brain) is a mortgage product sourcing and comparison tool integrated into Smartr365. You can run sourcing sessions with pre-populated client data from your cases, or use Quick Sourcing for standalone searches.
Setting Up Credentials
Each adviser needs their own MortgageBrain credentials configured before they can run sourcing sessions.
Navigate to My Credentials from your user menu
Find the Sourcing Brain section
Enter your MortgageBrain credentials:
Username — Your MortgageBrain username (mandatory)
Password — Your MortgageBrain password (mandatory)
Save your credentials
Note: Your firm's FCA Number must also be configured in Settings by a System Admin, as it is sent with every sourcing request.

Quick Sourcing
Quick Sourcing lets you search for mortgage products without linking to a specific case.
Open the MortgageBrain sourcing option from the Sourcing menu
A new MortgageBrain session will open with no pre-populated data
Enter your search criteria directly in MortgageBrain
When you find a suitable product, you can create a new case and import the results
Case-Level Sourcing
When sourcing from within a case, client data is pre-populated into MortgageBrain automatically.
Open your case and navigate to the Sourcing section
Select MortgageBrain as your sourcing option
Review the data preview — the following client data will be sent:
Applicant details (name, date of birth)
Employment and income information
Property details
Mortgage requirements
Click to start the session — MortgageBrain will open with your case data pre-populated
Complete your search in MortgageBrain
Return to Smartr365 to retrieve and import the results
Importing Results
After completing a MortgageBrain session, you can import the sourced products back into your case:
Add to Case — Import the selected product details into your existing case
Direct Apply — Apply directly through MortgageBrain where supported by the lender
Download Documents — Retrieve illustrations (KFIs) generated during the session
Troubleshooting
"Unable to create client" Error (Error -7)
This error typically means some mandatory client data is missing or invalid. Check:
Employment records — At least one employment record must exist for each applicant
Date of Birth — Must be populated and valid
Title — Client must have a title set
Address history — At least one address must be recorded
Tip: If Quick Sourcing works but case-level sourcing fails, the issue is with the case data, not your credentials.
Automatic Logout / Login Loop
If MortgageBrain keeps logging you out or you're stuck in a login loop:
Check your password hasn't expired — MortgageBrain requires periodic password resets. Visit the MortgageBrain portal directly to reset your password, then update it in Smartr365 under My Credentials > Sourcing Brain
Try a different browser — Safari and Chrome Incognito mode can block the refresh mechanism that keeps you logged in. Try using standard Chrome or Edge
Clear browser cache and cookies — Stale session data can cause login loops
Allow pop-ups — If your browser is blocking pop-ups, MortgageBrain sessions may not open correctly
Re-enter credentials — Go to My Credentials > Sourcing Brain, re-enter your username and password, and click Save
Sourcing Works for Some Clients But Not Others
If you can source successfully on most cases but a specific case fails:
The issue is almost always missing or invalid data on that specific case
Check the same fields listed under Error -7 above (employment, DOB, title, address history)
Compare the failing case with a working one to spot what's different
If the error message includes a reference code, note it down when contacting support
Session Not Saving Back to Case
If you complete a sourcing session but results don't appear in Smartr365:
Ensure you clicked Save within MortgageBrain before closing the session
Return to the Sourcing section of your case and click to retrieve results
Check that both the "Add to case" and product selection options were completed in MortgageBrain
Session Timeout
MortgageBrain sessions expire after a period of inactivity. If your session times out, you'll need to start a new one.
Invalid Credentials
If you see a credentials error, verify your username and password in My Credentials → Sourcing Brain. Contact MortgageBrain directly if you need to reset your credentials.
